This Privacy Policy explains how Akita Phone ("we", "us", "our") collects, uses, and safeguards personal information when you use our business phone service, mobile and web applications, and website at akitaphone.com.

1. Information We Collect

We collect information you provide directly (name, email address, mobile number, company details, billing information) and information generated by your use of the service (call metadata, SIP registration logs, message metadata, IP addresses, device identifiers, and application telemetry required to deliver the service).

2. How We Use Information

We use collected information to provision and operate your phone service, authenticate you, route calls and messages, deliver transactional notifications (account updates, MFA codes, service alerts), respond to support requests, bill for the service, prevent fraud and abuse, and meet legal obligations.

3. SMS & Messaging Consent

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors that support our services (for example, our SMS carrier partner) is permitted only to the extent required to deliver the messages you have consented to receive. All other categories of use exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you have opted in to receive SMS from Akita Phone, message frequency varies with your account activity. Message and data rates may apply. Reply HELP for help or STOP at any time to unsubscribe. Details of our SMS program are in the SMS Terms & Conditions.

4. How We Share Information

We share information only with (a) subprocessors necessary to deliver the service (telecommunications carriers, cloud hosting, payment processors, transcription providers), each under contractual data-protection obligations; (b) government or law-enforcement bodies where compelled by valid legal process; and (c) parties involved in a corporate transaction (merger, acquisition, sale of assets) under confidentiality obligations. We do not sell personal information.

5. Data Retention

Account records are retained while your account is active and for a reasonable period afterward to satisfy legal, tax, accounting, and audit obligations. Call recordings and transcripts are retained per your organization's configuration. SMS opt-in and opt-out records are retained indefinitely as proof of consent as required by carrier and TCR (The Campaign Registry) rules.

6. Security

We apply industry-standard administrative, technical, and physical safeguards, including encryption in transit (TLS 1.2+), encryption at rest for sensitive fields, argon2 password hashing, and least-privilege access controls. No system is perfectly secure; we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, contact us at privacy@akitaphone.com. We may need to verify your identity before acting on a request.

8. Children

Akita Phone is a business service and is not directed to individuals under 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this policy. Material changes will be communicated by email or through the service. The "Last updated" date at the top of this page reflects the latest revision.
